Responsibilities
- Providing efficient and effective general office support
- Travel arrangements, travel accounting, administration and checking of invoices for business trips, administration of Bahncards and credit cards
- Maintenance of the team diary, including scheduling and prioritising appointments and visits, ensuring a balance of activities and time
- Holiday/ Absence administration for the team and colleagues
- Organization of external / internal key persons visits
- Support for new team members (Organisation of workstation/ technical equipment)
- Ensure smooth communication with external and internal partners
- Arrange appointments/ meetings with stakeholders and organize telephone conferences
- Receiving of visitors to office and responding to needs
- Organisation of internal events on site and off site (venue finding, price negotiation with suppliers…)
- Redaction of meeting minutes
- Administration/ Organization (addresses, contacts, appointments, filing/ calendar)
- Correspondence in German, English and French
- Translation of short documents or verification of translations done externally for more extensive documents
- Contribution to operative tasks
- Preparing powerpoint presentations
- Liaise with PA of other departments
Requirements
- Personal Assistant administrative competencies (e.g. time management, organizational and communication skills)
- Good interpersonal skills and contact behaviour at all levels
- Capacity to work in an independent way/manner
- Result oriented
- Very good MS Office skills
- Business fluent in German, English and French
- Willingness to travel (appr. One per month within Germany)
- Ability to react fast to changing situations
