Missions
As an Executive Assistant, you will perform a broad variety of administrative support functions for the needs of executive management. The ideal candidate is an administrative generalist with a can-do attitude and desire to be part of a fast-growing and exciting international environment. This is a demanding but highly rewarding role, allowing you exposure to broad and diverse areas of the SAST business and to work with management team on a multitude of exciting tasks. Your responsibilities in the position will include:
- Compile and edit briefing materials and synthesizing this information into executive summaries with key business and communication insights
- Make complex travel arrangements and itineraries including air, hotel, transfers and visas
- Manage complex calendar activity: coordination and oversight of internal and external business meetings, making all necessary arrangements including sending invitations, reserving facilities, audio, telepresence, visual setup, transportation and catering
- Prepare, reconcile and process expense reports in line with company and organization requirements
- Manage documents, contact lists and procedures in both hard files and online systems
Profile
- Personality: You are characterized as a person with a terrific work ethic accompanied by an ever-positive, get-it-done attitude. You are highly motivated, organized, and able to work effectively with minimal supervision and ability to handle administrative details independently, while keeping team members adequately informed
- Work practice: Your working style can be described as collaborative, autonomous, proactive, and results-oriented. You have effective communication and presentation skills appropriate for interaction with network clients, vendors, and senior management and are able to effectively manage a high volume of work and performed efficiently
- Experience: You have a minimum of 3 years’ experience as an Executive Assistant or as an administrative role supporting senior management (preferably in an international company)
- Know-How: Excellent oral, written, and electronic communication skills. Ability to communicate effectively at all levels of the organization. Ability to work in a fast-paced environment, to handle multiple priorities, and to work under strict deadlines and to quickly learn organizational structure and the objectives of the Management Team. Excellent computer skills, including Microsoft Power Point
- Languages: Excellent English and German language skills are required
- Education: Bachelor’s / Master's degree in Business Administration or equivalent area
